Script For Voice Mail

Subscriber Station:

5 Steps:
4 Recordings are required to set up your personal voice mail box as follows
1 Password:

1. Away from Desk or out of office.

This message is played during normal business hours to advise the caller you are away from your phone.

Hello, You have reached (NAME) at Extension (###). I am either away from my desk or unable to answer your call… Please leave your name… Telephone Number with Area Code… and a brief message…. I’ll return your call as soon as I can.

2. On the Phone with another call.

This message is played to the caller when you are on your phone with another call.

Hello, You have reached (NAME) at Extension (###). I am on another call… Please leave your name… Telephone Number with Area Code… and a brief message…. I’ll return your call as soon as I’m through.

3. After business hours.

This message is played to the caller after normal business hours to advise the caller you are away from you phone and not to expect a return call until the next business day.

Hello, You have reached (NAME) at Extension (###). Your have reached us after our normal business hours. … Your call is important to us...  Please leave your name… Telephone Number with Area Code… and a brief message…. I’ll return your call on the next business day. If this is an emergency, hang up and call me at .......

4. Your Name.

State your name. Your name is played when a caller uses the dial by last name feature our when you transfer voice mail messages within the voice mail system.

5. Your Password/Pin

Enter a 3-4 digit pin/password to secure your voice mail box. You may use any digit between 1 through 0.

To set up your recordings above, please follow the directions below to enter into the subscriber recording area of your personal voice mailbox.

bulletDial the voice mail system extension from your phone.
bulletWhen Voice Mail answers, press the following numbers to proceed to the recording area.
bullet5, Then 1 = Change personal greeting
bulletPress
bullet1. For Away from Desk or out of office.
bullet2. For On the Phone with another call.
bullet3. For After business hours.
bulletWhen you are finished with above press  *
bulletThis will bring you one level up.
bulletNow press 2 to set up your three or four-digit password.
bulletAfter setting your password, it’s time to record your First and Last name. Press 3.
bulletRemember, after recording your message, press 1 to stop recording.
bulletYour will ten be prompted to (1) listen to your recording or (2) save your recording.
bulletIf you do not press 2, your recording will not be saved/changed.
bulletYour personal voice mailbox is now set up for use.

 

Note: Some people like to change recording number 1 on a daily basis, just to let the caller now your really in, but away from the phone. The daily recording would go like this:

Example 1.

Hello, You have reached (NAME) at Extension (###). Today is Tuesday May 26, I am in the office today but I am either away from my desk or unable to answer your call… Please leave your name… Telephone Number with Area Code… and a brief message…. I’ll return your call as soon as I can.

Example 2.

Hello, You have reached (NAME) at Extension (###). Today is Tuesday May 26; I will be on the road today and tomorrow. . If you require immediate assistance, please call my assistant at extension (###) by dialing * and (###) now… otherwise, please leave your name, telephone number with area code, and a brief message, I’ll be checking my voice mail regularly and return your call as soon as possible.
